Cancellations and Withdrawals

Registered Programs or Lessons

All classes/courses are subject to cancellation if there are insufficient registrations.  We will notify you once a cancellation decision has been made.  If the Town of Okotoks cancels a program, you are entitled to a full refund or you may transfer to another program, space permitting. If you withdraw or transfer from a class/course at least one week before the start date, a 10% cancellation fee, per registration, will be applied to your refund or credit.  No credit will be issued if the withdrawal or transfer occurs less than a week from the start date or after a program starts, except for medical reasons (physician’s note required). Withdrawal from programs for medical reasons will be effective from the date of the note and must be received by a Customer Experience Associate prior to the program end date.


Booked Activities or Classes

If you cancel your activity either online or by phone at least 6 hours in advance, a full credit will be received. Cancellations within 6 hours will not result in a credit. Cancelling your booking online will require you Add the Cancellation to your basket and then Checkout.


Facility Rentals

Facility users must submit notice of cancellation of a rental time(s) to Community Services in writing or by e-mail 10 days in advance of the rental. If a rental is cancelled with more than 10 days notice, a $20 administration fee will be applied to the users refund or credit. If the cancellation is received with less than 10 days notice, no refund or credit will be issued unless the facility is rented to another user.


Memberships

Only an Annual Facility Pass can be requested to be withdrawn. An Annual Facility Pass Withdrawal Form must be submitted by the 1st of each month. Withdrawals will be processed on the 15th of the month and any fees owing will be deducted from the current month’s payment. Passes will not be refunded if less than 30 days remain on the pass as of the withdrawal date. Refunds will be pro-rated on the remaining balance of the account less a $25.00 or $50.00 fee for single or family passes respectively. Fees associated with the withdrawal of a pass will be applied to your account and will be subject to finance charges. Facility pass refunds for medical reasons require a medical note to be submitted to Client Services. Refunds will be pro-rated and effective from the date of the medical note without penalty. One month, Three month and Annual passes are NOT transferable.
